Why bans always lose: the story of the shadow.
The ban arrives first, always. A circular goes out, a tool is blocked on the network, and the dashboard shows zero. For a week, the organization believes the dashboard.
Then the quarter report needs summarizing, the deadline does not move, and a capable employee does what capable employees do: opens a personal account in a browser tab, pastes a work file, and gets the job done. Nothing on the dashboard changes — and that is exactly the problem. The usage did not stop; its visibility did.
A ban does not move usage out of the building. It moves it off the record.
The arithmetic of the shadow
Ask any IT leader three questions and watch the answers shrink: who is using AI? On which data? Under whose approval? In a banned organization, the honest answer to all three is the same: nobody knows. Here is what that ignorance looks like, drawn as the only chart this essay needs:

Why the workaround wins
Because it is easier. That sentence carries the entire security argument: people route around friction the way water routes around stone, and no circular has ever beaten a deadline. The only system that wins against a workaround is one that is easier than the workaround — same familiar chat, same work sign-in, answers that actually know the organization.
The employee experience is a security control, not a luxury. Every minute of friction is a minute of shadow.
What “visible” buys you
Once the same energy flows through one door, four things become numbers instead of anxieties: identity (who), permission (on what), balance (how much), and record (provable, later). Denials stop being embarrassments and become evidence; approvals stop being bottlenecks and become names on a timeline. The auditor’s question turns from an excavation into a retrieval.
None of this requires heroism. It requires a gate that is genuinely nicer to walk through than the window is to climb — and a leadership honest enough to measure the shadow before declaring it gone.
You do not defeat the shadow by turning off the light. You defeat it by turning it on.
